Price quotes: send a quote and turn it into an invoice on accept

Create a quote for a customer from Quotes, send it, then press "Accept → invoice" when they agree, or decline it with a reason. Quotes do not touch stock or the books.

A quote lets a customer see the items and the total before they commit. When they accept, one press turns it into an invoice, with the same lines.

Steps

  1. Open "Quotes" from the menu and press "New quote".
  2. In "New quote" choose the customer ("Pick a customer…") and the "Currency".
  3. Under "Line items" press "Add a product…", search the item and set the quantity and the price. Add as many lines as needed; the "Subtotal", "Tax" and "Total" update.
  4. Press "Save". The quote is a "Draft".
  5. Open it and press "Send". Its status becomes "Sent".
  6. When the customer agrees press "Accept → invoice". An invoice is created from the quote; use "View invoice" to open it, then collect payment as usual (selling with an invoice).
  7. If they say no, press "Decline" and write the "Decline reason". The status is "Declined".

If it doesn't work

  • "Could not save": a customer or at least one line is missing, or the connection dropped; try again.
  • You cannot find a quote: use the filters "All", "Draft", "Sent", "Accepted", "Declined".

What the system does not do

It does not email or message the quote by itself; "Send" marks its status. Share the figures with the customer yourself.

Common questions

Does a quote reserve the stock or record a sale?
No. A quote is a non-binding offer. Stock and the books move only when it becomes an invoice.
What is the difference from Request for quotes?
Quotes are what you offer your customer. Request for quotes is what you ask your suppliers, to compare their prices before buying.
